Digital Marketing Administrative Assistant

 
Requirements

  • Strong analytical, interpersonal and communication skills (both written and verbal)
  • Strong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high pressure environment
  • Excellent organizational skills with strong attention to detail
  • Self-starter with the ability to work independently and with minimal guidance
  • High energy level and ability to perform in a fast paced environment under highly demanding conditions
  • Must have superior skills in MS Word, Excel, Outlook and proficiency knowledge in PowerPoint
  • Flexibility for covering overtime into early evenings (~6/7PM)
  • Willingness to be accessible outside of agreed working hours on an ad-hoc and limited basis
  • Excellent phone manner and management a must
  • College degree or equivalent experience
Responsibilities
Support global head of digital marketing with administrative duties including:
  • Calendar support and meeting scheduling
  • Booking domestic and international business travel through Concur
  • Creating and organizing team outings and other events
  • Managing and submitting expenses and expense reports, as needed
  • Meet and greet visitors and clients – including ensuring access/security, coordinating conference rooms, audio/visual requirements, and meal arrangement
  • Ensure equipment, office supplies, and technology is available/in working order and arrange for changes/support with facilities
  • Submit technology/support requests and follow-up
  • Maintaining digital libraries of materials and distribution lists

In addition to the above, support global digital marketing team and provide assistance to the marketing administrative team on an ad hoc basis.
