OFFICE ASSISTANT (m/f)
THE JOB:
Being responsible for general administration/coordination and reception duties for the office and assist in specific projects and being Office contact person for internal and external business relations.
Responsibilities:
• Mainly provide follow up on legal and tax agreements to keep Luxembourg records up to date
• Follow up on invoices approval
• Produce internal invoices and Purchase Order blankets for transportation dept worldwide
• Work closely with the AP team in placing PO, updating the VDM supplier files in Oracle (ERP)
• Keep holiday/sick leave files up to date
• Coordinate with the HR department all the information required
• Monitor cash box
• Make travel arrangements (taxis, flights, hotels, etc)
• Organize board meetings and provide assistance
• Place stationery, equipment, groceries orders and make sure the office is well supplied
• Sort and distribute incoming mails, send out outgoing mails
• Welcome visitors and suppliers
• Produce internal documents for the Finance Manager
• Make travel arrangements
THE CANDIDATE PROFILE:
• Previous experience in a similar position
• Good verbal and written communication skills.
• Well organized, proactive and detail orientated.
• Ability to use initiative, work, problem solve and prioritise independently
• Good command in Excel
• French and English fluent
